From the Configuration menu select Template Management.
As a storage facility, you will want to be sure that communication with your tenants accurately reflects the image your facility wants to portray. Every major document, SMS (Text) and E-Mail within the QuikStor Cloud can be customized to fit your individual facilities’ needs.
There are three tabs which contain the default documents for email, SMS (Text) and Document.
Using the buttons on the right side of the window you can Preview, Edit or Export.
First we will review the handling of Documents. The review of SMS and E-Mail will follow below.
It is suggested that you use the Preview function to review the documents that you will be using to make sure that the legal language conforms to your state laws. Click on Preview.
In addition, you should review and customize the Lease Agreement to conform to yours. Here is how you can edit the existing template to customize it for your site.
Click on the Document tab. The Lease Agreement should be the first document listed.
You can scroll down the page to review the entire document, but assuming you have an existing lease agreement, you can proceed to close this window and click on the Edit button.
First, edit the Name of the document to reflect the fact that this version is customized for your site. “Custom Lease for Our Self Storage”. You have lots of space so make clear what this document represents.
When the window opens the two sliders on the right side default in the active position. This indicates that this is a Custom document intended to be signed electronically (E-Signature). If the document is to be signed with a wet signature, than click on the E-Signature slider to turn it off.
First you should review the data fields to make sure that you wish to use the fields that are provided in the Template. These fields are setup to fill the space with the information stored in the QuikStor Cloud.and scrolling down check these additional fields.
If you need to make any changes or additions to the information that will be retrieved from the Cloud database, you can make selections from the stored data which is listed on the left side of the window. Click on the diamond to the left of the list.
The left window will display all of the fields that are available to place in the document.
By placing your cursor in the document location where you want the data to appear and then double-clicking on the field name in the left panel, the field will be placed in your desired location. Once it is in the document, you may use normal cursor movement to change the placement of the field.The nest step in editing the Lease would be to delete the existing body text and replace it with your text. The editor allows you to copy and past from another document. So, the easiest way to perform this operation is to open your lease agreement at the same time you are editing the template. Highlight the text in the template that will be replaced by your text and delete it.
Then open your lease document, highlight the text you intend to use and Copy the text, move your cursor to the correct location in the template you are editing and Paste.Review the pasted text for formatting.
The editor has a full set of formatting tools, indicated in the marked circle above.
When you have completed your editing, click on Save. Your Custom Document will now appear on the list of documents.In the event you want to revert to the original Default document, go to the edited document in the list of documents. Click on Edit and the revised document will be displayed.The slider on the upper right part of the window is set to Custom, reflecting that this is a modified version of the original, default, document.To revert to the original document click on the slider.The slider name will changes to Default. The document presented will be the default document. You can edit this document, rename it and have two custom versions. The default will always remain and be available in this manner.
Reviewing SMS (Text) management:
Click on the SMS(Text) tab. You will see a listing of all of the default messages. You can use these, as-is, or make whatever changes you wish. You can click on Preview to view the content, or Edit to view and make changes.
In this Edit screen the Default content is displayed. To make changes click on the slider in the upper right corner of the window.
The title on the slider changes to Custom. First, change the name of the document to help you identify your changes in the future.
You can edit the message, but it is limited in length, so you will probably have to delete some of the default text, to enter new language or data.
By clicking on the diamonds in the left of the window you get a list of data fields that can be placed where you want them in the document.
Simply click on a location in the document and then double-click on the data field.
When you have completed your customization, make sure you have entered a File Name and Description. Only then will the Save button turn dark green, which allows you to save your new version. Click on Save.
Reviewing Email template editing.
Select the Email tab. Then you may proceed as with the SMS and Document sections to review the documents by clicking on the Preview or Edit buttons.
Select an Email to Edit.
You follow the same procedure as with editing a Document.
1. Name the Email.
2. Set the slider to Custom.
3. Describe the Email.
4. Make changes to the Email.
5. Save the Email.
You have the ability add data fields by placing your cursor in the document where you want the field and then finding the field in the left panel and double-clicking on it.
You can also use all of the formatting tools available in the edit window.
In fact, if you are able to provide HTML code, you can copy it into the Email and it will provide all of the color and formatting available with HTML.
